What actually determines the price of hiring a mobile coffee bar for an event — and why a tailored quote beats a rate card.
Why there's no rate card
Ask what a mobile coffee bar costs and an honest supplier will answer with questions. A two-hour office treat for thirty people and a three-day exhibition bar serving a convention hall are different jobs with different crews, machines and logistics — pricing them off the same card would mean overcharging one and under-delivering the other.
That is why Aroma quotes per event: you tell us exactly what the event looks like, and the quote is built for it — itemised, so you can see what each element contributes.
The six factors that shape your quote
Location. Where the event is determines travel and logistics — a London venue and an overseas exhibition are planned differently, and the quote reflects it.
Dates and set-up. Your event dates, plus the set-up slot before it. We recommend allowing a minimum of 2.5 hours to load in and set up; for exhibitions we prefer the day before, so the bar opens ready.
Days and hours of service. A quote covers your exact service window — the number of days and the total hours the baristas are pouring.
Guests per day. The average number of guests each day sets the pace the bar has to hold, which drives the configuration and crew.
Service option. From a single barista station to two joined stations, smoothies, or fresh orange juice — each configuration is quoted precisely.
Branding. Bar panels, custom cups, aprons, chocolate stencils and the foam logo printer are itemised individually, so you add exactly the brand presence the event needs and see what each element costs.
